5 Min Passport Photos (“we”, “us”, “our”) operates walk-in passport, ID, visa and citizenship photo studios in Edmonton, Calgary and Surrey, Canada. This policy explains how we handle information, both on this website and in the internal reporting tool we use to run our business.
Information we collect from website visitors
We collect only what you choose to give us:
● Contact and booking details you provide when you book an appointment or contact us — such as your name, phone number and email address — used solely to arrange and provide your photo service.
● Standard website analytics, such as pages visited and general location, collected through Google Analytics and Google Ads to understand how people find our studios.
We do not sell, rent or trade your personal information to anyone.
Photographs taken in our studios are produced for you as a paid service. We retain them only as long as needed to deliver and reprint your order, and we do not share them with third parties except where required to fulfil your order or by law.
Our internal reporting dashboard
We operate a private, internal dashboard used only by the business owner to manage the company’s finances and advertising. It is not available to the public, is not sold or licensed to anyone, and has no user accounts.
What it accesses. With our own authorisation, the dashboard reads:
● Google Ads reporting data from our own advertising accounts — campaign names, cost, impressions, clicks, conversions, search terms and related performance metrics, accessed through the Google Ads API in read-only mode.
● Sales data from our own Clover point-of-sale terminals — transaction totals and item counts from our own stores.
What it does not do. The dashboard performs no advertising management of any kind. It does not create, edit, pause or delete campaigns, budgets, keywords or ads. It does not access any Google account other than our own. It does not collect, process or store personal information about our customers or about any member of the public.
Where the data is stored. All data retrieved by the dashboard is stored locally on the business owner’s own computer. It is not uploaded to any cloud service, not shared with any third party, and not used for advertising, profiling or resale.
Limited use. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Data obtained through the Google Ads API is used solely to produce internal financial and advertising reports for our own business, and for no other purpose.
This website uses cookies for basic functionality and for Google Analytics and Google Ads measurement. You can disable cookies in your browser settings; some parts of the site may not work as expected if you do.
We keep information only as long as necessary for the purposes described above, or as required by Canadian law. We take reasonable measures to protect the information we hold from loss, misuse and unauthorised access.
You may ask us what personal information we hold about you, request corrections, or request deletion, subject to any legal obligations we have to retain records. Contact us using the details below.
We may update this policy from time to time. The revised version will be posted on this page with an updated date.
